Sample picking is referred to as SP, generally, one or several samples that can reflect the overall quality of large goods, which are randomly selected from the finished goods in warehouse or production line according to the requirements. Common sample picking includes taking shipment samples or taking test samples.

Why does the customer need a third party inspection company to send inspectors to the factory for sample picking on site?

There are two main reasons:

  • According to international practice, in international trade, the customer ( usually refers to the buyer ) will ask the seller ( usually refers to the manufacturer ) to takea set of samples from the production and send them to him. The buyer will leave the shipment sample in his own sample room, which is called shipmentIn this way, when there are quality disputes between them in the future, it can be used as an important evidence for complaints and even claims.

However, suppliers usually choose the best quality products from large goods as samples for shipment and even let factories make several special products as shipment samples. In this way, it does not make much sense for customers to receive ” special shipment samples” from suppliers.  Therefore,it is very important to ensure that the shipment samples provided by suppliers can reflect the quality level of the whole batch of products instead of the specially prepared ” shipment samples”. This is why to Avoid Fake Testing Samples becoming very important. Therefore, the customer needs to entrust a third party inspection company to send inspectors to the factory site to do sample picking and send them to him when the bulk goods are all finished, so as to prove that the quality of the bulk goods in the factory is same as the shipment samples the customer initially received.

  • About“test samples”, because all countries are increasingly demanding on the quality of products imported from abroad and require importers to issue product testing certificates provided by independent third party laboratories as important documents for import customs clearance. In addition, the local government and other relevant quality supervision agencies will also conduct random checks on the quality of imported goods at the place where the products are sold.

If it is found that the quality of the sampled product ( usually the finished product sold on the market ) is not up to standard, the relevant government agencies or industry organizations will issue quality notices and quality warnings to the product. And even force to take the product off the shelves and require merchants to recall their products. If you want to learn more about product recall, please see  Why Recall Goods, which has caused tremendous pressure and economic losses to importers and retailers.

Therefore, it is necessary to ensure that the samples sent to the laboratory are randomly taken from large goods and can reflect the quality level of the whole batch of products instead of those samples specially manufactured by the factory for laboratory testing in an opportunistic way in order to obtain the product inspection certificate. This requires a third party inspection company to send inspectors to the factory site to carry out sample picking, which reflects the fairness and objectivity of sample picking.  Similarly, in order to avoid the quality risk and international trade risk, the buyer commissions a third party inspection company to monitor the whole process of loading.
